How to add new companies?
Adding a new company requires setup both in D365/AX2012 and in Dooap.
After completing the setup in D365/AX2012 and importing the company to Dooap, contact us via email dooap@support.com to receive Dooap Capture invoice address for the new company.
D365 Setup
-
Create the New Company
Begin by creating the new company in D365/AX2012. -
Set Up a New Invoice Journal
Configure a new invoice journal for the company by following the detailed steps outlined in Technical tasks for Dooap D365 deployment (step 7). -
Add a Charge Code for Miscellaneous Charges
Ensure that a charge code is created and properly configured to account for any miscellaneous charges.
This affects how miscellaneous charges are handled: they can be posted either to the item or to a dedicated ledger account.
Configuration in Dooap
The configuration is managed in the Dooap Admin section.
Once the D365 setup is completed for the new company, navigate to Admin > AX Import and import the company.
- Click Deselect all.
- Select Company.
- Click Import.
After the company is imported to Dooap, you can start making the setup in Dooap.
We recommend reviewing how other companies are configured in Dooap and setting up the new company in a similar manner.
Especially the following setup should be checked:
- Company setup: coding / invoice header validation rules, automatic transfer and machine learning settings and configurating invoice types.
- User management: assigning the rights to the new company for users and updating approval limits for approvers.
- User groups: if any user groups are needed in the workflow of the new company, the company should be added to the group.
- Workflow presets: if needed, creating new presets or adding the presets available for the new company.
Company Management
In the Admin > Companies section you can first set coding and invoice header validation rules if necessary.
Then in Rules, settings and automatic transfer tab you can choose for example if the invoices should be sent automatically to payment after the final approval or not. There are also other settings as machine learning enabling which should be looked trough.
In Invoice types tab you should add the invoice types accordingly for each company and make necessary configurations related to invoices types such as the default workflow and tolerance.
User Management
The new company should be assigned to the correct users who should have access to the company’s invoices.
This can be done in Admin > Users view by selecting the user and then Companies.
Assigning a company can be completed by clicking the company from the Search companies list.
After that, in Approval limits tab, you should also set approval limits for the user regarding the new company, if the user should be able to approve invoices.
User Groups
If any user groups are needed in the workflow of the new company, the company should be added to the group to make the group available for that company.
- Navigate to Admin > User groups.
- Select a group and then Companies.
- Search for the new company and click the name to add it to the Associated companies list.
Workflow Presets
If needed, creating new presets or adding a preset available for the new company can be done in Admin > Workflow presets.
- New preset: Create by clicking Add new workflow preset.
- Adding an existing preset to the new company: Select the preset and Add companies or select All companies.
